1.1 Account Information (for Registered Users)

When you create a Registered User account, we collect:

Email Address: Used for account verification, password resets, and communication related to your account.
Username: Your chosen identifier within the application.
Hashed Password: We store a cryptographically hashed version of your password. We do not store your plain-text password.
Registration Datetime: The date and time your account was created.
Deletion Datetime: (For validation purposes during the soft delete retention period, if applicable).
Quantity of Remaining Tokens: Tracks your usage of AI-powered features.

1.2 User-Created Content and Associated Data

When you create characters using ArcanaPDF, we store the following data associated with your user account:

Character Sheet Data: Stored in JSON format, containing the details of your 5E compatible character sheet. This data is intended for your future access and downloading.
Character Portraits: Images generated for your characters, stored in JPG format. These are for your future access and downloading.
Character Backstories: Textual backstories generated or entered for your characters, stored as part of the JSON character data. These are for your future access and downloading.
MP3 Presentation Files: Audio files generated for your characters, stored in MP3 format. These are for your future access and downloading.

2. How We Use Your Information

We use the collected information for the following purposes:

To Provide and Maintain the Service: This includes managing your account, allowing you to log in, track your token usage, and save your character creations.
Account Verification: Your email address is used to verify your account upon registration.
Personalization: To allow you to create, store, and access your unique 5E compatible character sheets and associated AI-generated content.
Service Improvement: To understand how our service is used and to improve its features and functionality.
Security: To protect the integrity and security of our application and user accounts (e.g., through hashed passwords).
Administrative Purposes: For internal record-keeping and managing account deletion processes, including the email retention period.

3. Data Storage and Security

Data Isolation: All user data is isolated per user. It is not a community-based application, and your data is not publicly shared or accessible by other users.
Security Measures: We implement industry-standard security measures, such as password hashing, to protect your data. However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.
No Sharing with Third Parties: ArcanaPDF does not sell, trade, or otherwise transfer your collected user data (email addresses, usernames, hashed passwords, character data) to third parties for their marketing or other purposes.

4. Cookies and Essential Functionality

ArcanaPDF uses cookies to ensure the proper functioning of the application and to provide you with a seamless experience. These cookies fall into two main categories:

Strictly Necessary Cookies: These cookies are essential for the operation of ArcanaPDF. They enable core functionalities such as user authentication (keeping you logged in), session management (remembering your state as you navigate the app), and maintaining the integrity of your character data. Without these cookies, the application would not be able to function correctly, and you would not be able to use features like logging in, creating, or saving characters. Your consent is not required for these cookies as they are fundamental to providing the service you request.
Non-Essential Cookies: These may include cookies for analytics, performance, or other purposes. At present, ArcanaPDF does not utilize non-essential cookies for any third-party analytics or other tracking purposes. However, this policy may change in the future. 5. Data Retention

Active Accounts: We retain your account information and user-created content as long as your account remains active to provide you with the service.
Account Deletion: Upon your request for account deletion, all associated character data and most personal information will be wiped from the ArcanaPDF database. However, your email address will be retained for a period of six (6) months following deletion. This retention is solely for administrative purposes, primarily to prevent abuse of the free token system. After six months, your email address will also be permanently removed.

6. Third-Party Services

ArcanaPDF utilizes various third-party APIs to provide certain features, particularly the AI-powered functionalities and email services. While ArcanaPDF itself does not share your collected data with these third parties beyond what is necessary for the service to function (e.g., sending a text prompt to an AI model to generate a backstory), these third-party services may have their own data collection and privacy practices. Request Deletion: Request the deletion of your account and associated data, subject to the retention period mentioned in Section 4.
